How to Choose the Right Tent Size for Your Event
Published by Evans Event Rentals | Greensboro, NC
Choosing the right tent size is one of the most important decisions you’ll make when planning an outdoor event — and one of the most common sources of confusion. Too small, and your guests feel cramped. Too large, and the space feels empty and underwhelming. Get it right, and the tent becomes the backdrop that ties everything together.
Here’s a practical guide to help you size your tent before you ever pick up the phone.
Start With Your Headcount
Everything starts with how many people you’re expecting. But headcount alone isn’t enough — you need to know how those people will be seated and what else needs to fit inside the tent.
The industry standard is 10–12 square feet per guest for a seated dinner:
- 10 sq ft per person — works for more casual events or when you need to maximize capacity
- 12 sq ft per person — recommended for upscale weddings and formal events where comfort and flow matter
| Guests | 10 sq ft (casual) | 12 sq ft (upscale) |
|---|---|---|
| 50 | 500 sq ft | 600 sq ft |
| 100 | 1,000 sq ft | 1,200 sq ft |
| 150 | 1,500 sq ft | 1,800 sq ft |
| 200 | 2,000 sq ft | 2,400 sq ft |
| 300 | 3,000 sq ft | 3,600 sq ft |
Cocktail-style or standing room: 6–8 sq ft per person works for mingling-style events.
Round Tables vs. Rectangle Tables — It Matters for Sizing
The type of table you choose affects how many guests you can fit and how the layout feels. We offer both, and the difference is significant.
5-foot round tables seat 8 guests each and are the go-to for weddings and formal dinners. They encourage conversation across the table and have an elegant look. In a 20×20 tent (400 sq ft), you can comfortably fit 4 round tables — seating 32 guests.
8-foot rectangle tables also seat 8 guests each but take up less floor space due to their linear layout. In that same 20×20 tent, you can fit up to 6 rectangle tables — seating 48 guests. That works out to just over 8 square feet per person, making them a more efficient option when capacity is the priority.
The tradeoff: rounds feel warmer and more social; rectangles maximize headcount and work well for corporate events, rehearsal dinners, and casual gatherings.
Don’t Forget What Else Goes Inside
This is where most people underestimate. The headcount math covers your guests — but what about everything else?
Add square footage for:
- Dance floor — 4–6 sq ft per dancing guest (plan for 30–50% of your crowd)
- Bar or beverage station — 100–150 sq ft minimum
- Buffet line — 100–200 sq ft depending on layout
- DJ or band — 100–200 sq ft for a DJ setup; 300+ for a live band
- Head table or sweetheart table — 50–100 sq ft
- Photo booth, gift table, cake table — 50–100 sq ft each
It adds up fast. A 100-person wedding with a dance floor, buffet, and bar can easily need 1,600–1,800 sq ft — not the 1,000–1,200 sq ft the headcount alone suggests.
Our Tent Options at Evans Event Rentals
High Peak Cross Cable Tents — 20′ Wide
Our most versatile option. These elegant, high-peak tents are 20 feet wide and available in multiple lengths. They’re ideal for small to mid-size events and have a classic, timeless look.
The real advantage: they connect. Two or three high peak tents can be joined side by side or end to end using a gutter system, dramatically increasing your usable footprint. Need something closer to a 40×60 layout for a larger gathering? We can connect three 20×40 tents to achieve that square footage — same great look, scaled to your event. Other options are to connect them in a U Shape, this way you can place a dance floor in the middle and dance under the stars.
Gable Frame Tent — 30′ Wide (New This Year)
For larger events or venues that need a single, unobstructed span, we now offer an engineered gable frame tent. This is a 30-foot-wide structure that increases in 15-foot length increments — from 30×30 all the way up to 30×75.
| Tent Size | Sq Ft | Good For |
|---|---|---|
| 30×30 | 900 | ~75 guests (rounds) or up to 108 (rectangles) |
| 30×45 | 1,350 | ~110–135 guests |
| 30×60 | 1,800 | ~150–180 guests |
| 30×75 | 2,250 | ~190–225 guests |
No center poles — more open floor space, cleaner layout, and easier for caterers and guests to move around.
Real-World Examples
Backyard birthday party, 50 guests, cocktail style:
A 20×20 (400 sq ft) or 20×30 (600 sq ft) high peak tent handles it comfortably.
Wedding reception, 120 guests, seated dinner with dance floor and bar:
Plan for 1,800–2,000 sq ft at the 12 sq ft upscale standard. A 30×60 gable frame, or connected high peak tents, gets you there.
Corporate event, 200 guests, buffet and presentation area:
Plan for 2,500+ sq ft. A 30×75 gable frame or a multi-tent connected setup works well.
When In Doubt, Size Up
A tent that’s slightly larger than you need always looks better than one that’s slightly too small. It’s easier to fill a space with décor, lighting, and furniture than it is to make cramped guests comfortable.
